Sender reputation
The problem
Email marketing was a key component of the organization's customer engagement strategy, but campaign performance was being limited by a problem hidden beneath the surface: poor sender reputation.
Over the years, customer databases had accumulated outdated, inactive, misspelled, and abandoned email addresses. While the mailing list appeared large, a significant portion of the data was no longer valid.
Every campaign generated unnecessary bounces and delivery failures. Beyond reducing campaign effectiveness, this created a much larger risk.
Internet Service Providers (ISPs) and email providers such as Gmail, Outlook, Yahoo, and Apple Mail continuously evaluate sender behaviour. High bounce rates, spam complaints, invalid addresses, and poor list hygiene can damage sender reputation, causing legitimate marketing emails to be routed to spam folders or blocked entirely.
The organization faced a situation where future email marketing growth was at risk if corrective action was not taken.
Our approach
We implemented a comprehensive sender reputation and deliverability improvement strategy focused on both data quality and technical email infrastructure.
Email List Verification and Cleaning
The first priority was improving the quality of the mailing database.
Using professional email verification tools such as DeBounce, we analyzed the organization's customer records and identified:
- Invalid email addresses
- Abandoned accounts
- Disposable email addresses
- Spam traps
- High-risk domains
- Role-based addresses with poor engagement potential
These records were removed or flagged before future campaigns were sent.
This significantly reduced bounce rates and improved the overall health of the mailing list.
Audience Segmentation and Engagement Management
Rather than sending every campaign to every contact, we introduced audience segmentation practices that prioritized engagement quality over list size.
Inactive subscribers were identified and managed separately through re-engagement campaigns or suppression strategies.

A clean list alone does not guarantee deliverability.
We audited and configured the organization's email authentication records to ensure mailbox providers could verify that outgoing messages were legitimate.
This included implementation and validation of:
- SPF (Sender Policy Framework)
- DKIM (DomainKeys Identified Mail)
- DMARC (Domain-based Message Authentication, Reporting & Conformance)
Together, these technologies help prevent spoofing, phishing, and unauthorized use of the organization's domain while increasing trust with mailbox providers.
Domain Alignment and Brand Trust
We ensured that campaign platforms, sending domains, and reply-to addresses were properly aligned.
When mailbox providers see consistent alignment between the sender's identity and domain records, messages are more likely to reach the primary inbox instead of spam folders.
This also strengthened customer trust by creating a more professional and recognizable email experience.
Sending Reputation Management
We reviewed sending practices to reduce behaviours commonly associated with spam.
This included:
- Monitoring bounce rates
- Managing complaint rates
- Maintaining unsubscribe compliance
- Controlling sending frequency
- Gradually warming sending domains when necessary
- Monitoring sender reputation indicators over time
These practices helped establish a positive long-term reputation with major email providers.
Deliverability-Focused Campaign Design
We also optimized campaign construction to support inbox placement.
This included reviewing:
- Subject line practices
- Email content structure
- Link reputation
- Image-to-text ratios
- Mobile responsiveness
- Accessibility considerations
